In these Terms and Conditions and the Rental Agreement, The “Hirer” refers to the individual(s) leasing the vehicle under these terms. By placing a booking through Bombora Campers, you confirm that you have read, understood, and agreed to our terms and conditions. You acknowledge that this agreement is legally binding and does not require a physical signature.

πŸš— Driver Requirements

Only drivers aged 21–78, holding a valid licence from the UK, EU, Australia, or New Zealand for at least two years may rent or drive our vehicles. We can potentially cover those from the US, CAN, SA, please contact us first to arrange. 

  • Any endorsements, current or pending, must be disclosed.

  • Travel within the UK is permitted. EU travel may be allowed only with prior approval—failure to notify us can void insurance and leave you liable for any expenses. 

  • Any motoring offence incurred during the hire must be disclosed. If authorities notify us, we will report you to the DVLA.

  • Only named, approved drivers may operate the campervan.


🚫 Restricted Drivers & Penalty Fees

Rental may be refused or terminated if illegal use is suspected. A £500 fee may be deducted from the deposit if unauthorized or disqualified drivers operate the vehicle.

Prohibited individuals include:

  • Full-time professional entertainers or sportspeople

  • Jockeys or those connected to racing/gaming

  • Foreign service personnel

  • Intoxicated individuals

  • Drivers with multiple recent motoring accidents or convictions beyond minor infringements

  • Those refused motor insurance or with policies cancelled

  • For wedding hire, prior authorization is required.

  • Individuals involved in more than one motoring accident or claim within the preceding three years.

  • Individuals with a history of motoring offences or pending prosecution, other than parking or one speeding offence.

  • Individuals who have been refused motor insurance at normal rates or had any insurance policy cancelled.

  • Offence Codes & Points:

    Two 3-point offences (‘SP’, ‘TS’, or ‘CU’ codes): Covered as standard​

    Single 4- or 6-point offences (‘SP’, ‘TS’, or ‘CU’ codes): Covered as standard

    Three 3-point offences totaling 9 points (‘SP’, ‘TS’, or ‘CU’ codes are covered): Additional £500 excess

    Single 4- or 6-point offence (MS90, IN10/any others not mentioned): Requires referral

    Any conviction code not referenced (e.g., ‘CD’, ‘DD’, ‘BA’, ‘UT’, or ‘DR’/’DG’ codes): Requires referral

    Any ban or disqualification within 5 years of the hire date: Requires referral​​​

     

Penalty surcharges apply based on conviction codes or history per our policy guidelines 


πŸ“ Collection & Return

  • Pick-up: After 3 pm on the start date—unless arranged otherwise.

  • Return: By 11 am on the agreed return date.

  • Failure to present required documents at check-in may delay release of the vehicle.

  • Required documents:

    • Valid photographic driving licence

    • Two proof-of-residence documents - must match address on driving licence (e.g. utility bill, council tax) dated within 90β€―days

    • For UK residents: DVLA check code or endorsement record obtained within 7 days

    • A card pre-authorisation deposit will be held until the vehicle is returned undamaged


πŸ’· Additional Charges

  • Late return: £20 per 30 minutes, or a full extra night if return exceeds 2 hours late.

  • Fuel: Full-to-full policy; missing fuel is charged at pump price plus £50 refill fee.


πŸ”’ Security Deposit

A security deposit of £750 is required the day before collection and will be refunded to your original payment method on the same day the vehicle is returned, provided it is returned in the same condition and all terms are met. Please allow for 7 working days. 

A £750 security deposit is required for every booking. This amount serves two primary purposes:

Insurance Excess: The deposit covers the £750 excess on our insurance policy in the event of an accident.

Minor Damages: It also covers any minor interior or exterior damage to the vehicle, such as scuffs, scratches, or damage to door panels. The cost of any repairs will be deducted from your deposit, and the remaining balance will be refunded to you.
We kindly ask that you treat the van with the same care and respect as you would your own vehicle.

Smoking Policy
Please note: We operate a strict no-smoking policy in the vehicle. .

Vehicle Condition Check

To ensure transparency and fairness:

A full walk-around inspection of the vehicle will be carried out upon your arrival.
This inspection will be video recorded and time-stamped for reference.
A second inspection will be performed when the vehicle is returned.

If the vehicle is returned in the same condition it was hired out, your deposit refund will be processed on the same day. The funds should appear in your bank account within 3–7 business days, depending on your bank.


β›½ Fuel Policy

We operate a full-to-full fuel policy. The campervan will be supplied with a full tank, and must be returned the same way.
Failure to return the van with a full tank will result in a charge for the missing fuel at the current pump price, plus a £50 admin fee.
There is no mileage limit.


πŸ› οΈ Accidents & Damage

  • A full vehicle inspection (with timestamped photos) is conducted at collection and return.

  • Any damage, missing items, or additional cleaning will be deducted from the deposit.

  • All accidents must be reported immediately to Bombora Campers and to the police (if applicable).

  • Do not admit fault at the scene.

  • You must collect full details of all parties and witnesses involved.

  • Never abandon the vehicle — take reasonable measures to prevent further damage or theft.

We aim to ensure all vehicles are roadworthy before departure. However, we are not liable for third-party claims or losses resulting from accidents or breakdowns.


❌ What’s Not Covered

  • Damage from speeding (GPS-tracked): £150 fine

  • Tyre damage due to braking, punctures, or cuts

  • Damage from incorrect fuel use

  • Intentional or reckless damage

  • Lost/damaged keys due to negligence

  • Fire damage from vandalism or malicious acts


πŸ’Έ Insurance Excess

  • The standard insurance excess is £750 per incident.

  • This means you are liable up to £750 for any accident-related damage.

  • UK and EU residents may take out excess reimbursement insurance via a third-party, allowing you to reclaim the £750 (minus £100).


πŸ“† Reservation & Booking

Upon booking online, you will receive an automated confirmation email, including terms, check-in instructions, and required documentation.


❌ Cancellation Policy

  • Cancel within 24 hours of booking: Full refund

  • Cancel 30+ days before hire: Deposit retained, remainder refunded

  • Cancel within 30 days: No refund

We reserve the right to cancel bookings if:

  • Incorrect information is provided (e.g. invalid driver licence)

  • Required documents do not match at collection

  • Other reasonable grounds


πŸ‘¨‍πŸ‘©‍πŸ‘§ Passengers

  • Passengers under 18 must have proof of relation to the Hirer.

  • UK law requires all children under 135cm or 12 years old to use appropriate child seats — this is the Hirer's responsibility.

  • Only the Hirer and agreed passengers may sleep in the van unless agreed in advance.


🚭🐾 Smoking & Pets

  • Smoking is strictly prohibited. Any evidence will incur a £150 cleaning fee. If any evidence of smoking is found, a fine will be applied, and this will be deducted from your deposit.

  • Pets are welcome, please note the van is small - so ensure there is space for your breed of dog.

  • £30 pet cleaning fee applies. 

  • breaches incur a £150 charge. Ensure your dog is safely restrained while travelling (via a harness, crate, or dog guard) in accordance with the UK Highway Code (Ruleβ€―57). Unrestrained pets that contribute to distraction or injury could affect insurance validity and driver liability

⚠️ Limitations of Liability

We are not liable for:

  • Replacement vehicles or accommodation due to breakdown

  • Speeding or parking fines, tolls, congestion charges

  • Damage to windscreens, tyres, or punctures
    If the van is unavailable due to unforeseen repair delays, we may offer a replacement or refund all payments made. This is the full extent of our liability.

We only collect necessary information to process your booking, including:

  • Name, contact details, driver licence info, proof of ID

  • CCTV/audio in-vehicle (for safety & legal purposes)

Your data may be shared with insurers or legal authorities as needed.
We will never sell or distribute your data without permission.
You can request access or deletion of your data at any time.

  • The vehicle is insured through Alan Boswell Ltd; excess typically £750 per incident (adjusts if breach of policy applies)

  • You’re liable for unspecified damages, overhead or gross negligence issues, and items not covered by standard hire insurance.

  • Claims involving tyre damage, windscreen damage, misuse, or abandonment may fall outside insurance cover.

  • Damage costs, missing equipment, or additional cleaning fees will be deducted from your deposit; balance refunded once resolved.


🌍 Travel Insurance & Liability

  • We advise you to arrange independent travel insurance. We don’t cover personal belongings or personal injury.

  • We're not liable for costs linked to breakdowns, replacement transport, or traffic fines.

These Terms and Conditions are governed by England & Wales law.
